2. Overview
We process personal data only to the extent necessary to operate this website, to handle applications and enquiries and for recruitment purposes. This website uses no cookies, no analytics or tracking services and loads no third-party content. Fonts, images and scripts are served from our own server.
3. Hosting and server log files
The website is hosted by STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany; the servers are located in Germany. When you visit the website, the server automatically processes information transmitted by your browser: IP address, date and time of access, page visited, referrer URL, browser type and operating system. This data serves the secure and stable operation of the website. The legal basis is Art. 6(1)(f) GDPR. IP addresses are stored for a maximum of seven days and then anonymised. A data processing agreement pursuant to Art. 28 GDPR is in place with STRATO.
All data is transmitted in encrypted form via TLS (HTTPS).
4. Applications via the application form
Which data we process
Name, title, contact details, place of residence and country, information on field, desired position, qualifications, professional experience and language skills, preferred working model and start date, your message and the uploaded documents (CV and, where applicable, certificates, references or other documents).
Please only submit documents via the form that are necessary for your application. We do not need information on health or religion, for example, at this stage.
Purpose and legal basis
We process your data in order to review your application, contact you and present you to suitable employers. The legal basis is your consent pursuant to Art. 6(1)(a) GDPR and the performance of pre-contractual measures pursuant to Art. 6(1)(b) GDPR.
Disclosure
As part of the placement, we pass your application documents on to potential employers – in each case only after consulting you first. Where necessary for your placement, we also forward documents, in agreement with you, to other parties involved, for example for translations and certifications, language courses, recognition, visa and entry procedures or accommodation. Data is not disclosed for any other purpose.
Storage period
Your data is deleted once the application process has been completed, at the latest after 6 months. If you have agreed to be included in our candidate pool, we store your documents for up to 12 months so that we can contact you about suitable future vacancies. If a placement takes place, the statutory retention periods apply.
Confirmation of receipt
After submitting the form, you receive an automatic confirmation of receipt at the email address you provided.
5. Staff requests from companies
If you contact us via the “Staff request” form, we process your details (company, contact person, contact details, positions sought, message) in order to answer your enquiry and prepare an offer. The legal basis is Art. 6(1)(b) GDPR and our legitimate interest in answering enquiries pursuant to Art. 6(1)(f) GDPR. The data is deleted once it is no longer required for this purpose and no statutory retention obligations apply.
6. Contact by email or phone
If you contact us by email or phone, we process your details in order to deal with your request. The legal basis is Art. 6(1)(b) or (f) GDPR. Our email accounts are operated by STRATO GmbH (address see section 3); a data processing agreement pursuant to Art. 28 GDPR is in place with STRATO.
7. Communication via WhatsApp
If you contact us via WhatsApp or if we communicate with you via WhatsApp at your request, we use the messenger service of WhatsApp Ireland Limited, Merrion Road, Dublin 4, D04 X2K5, Ireland. WhatsApp processes, among other things, your phone number, your profile name, the messages and files exchanged, and metadata such as time and device information. WhatsApp belongs to the Meta group of companies; data may also be transferred to the USA. WhatsApp LLC is certified under the EU-US Data Privacy Framework, for which the European Commission has adopted an adequacy decision.
The legal basis is Art. 6(1)(b) GDPR (processing your application or enquiry) and your consent pursuant to Art. 6(1)(a) GDPR, which is given by contacting us via WhatsApp. Using WhatsApp is voluntary – you can always reach us by email or phone as well. Please preferably send application documents via the application form or by email. Further information can be found in WhatsApp’s privacy policy.
8. Your rights
You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21 GDPR). You can withdraw any consent you have given at any time with effect for the future, for example by email to schuhmacher@personnel-placement.com.
You also have the right to lodge a complaint with a data protection supervisory authority.
